MERGER WITH THE SMART TECHNOLOGY GROUP
Health Square announced completion of the merger with the Smart Technology Group (STG). STG provides true end-to-end total business infrastructure and integration solutions. Service offerings spanning EMR, Billing, project related consulting, IT Outsourcing and Data Warehousing. The Health Square offices in New Jersey have recently been expanded to accommodate the business of the combined companies, which will do business under the Health Square name.

PROOF OF CONCEPT
- This proposal only addresses the “Proof of Concept” phase
- The specifics will be determined from initial meetings with MHS and delivered within 60 days
- MHS and Health Square will determine and mutually agree on the functionality specifications
- The project start date is within two weeks of determining the objectives
- This model will be available to use in other areas of MHS after the acceptance
- Project scope for additional Phases will be determined based upon the results of the proof of concept
PRODUCT OVERVIEW
MinePoint allows hospitals to automatically aggregate key information from all of their healthcare systems and to layer on rules based intelligence to the collected data. The result is numerous, easy to use, solutions to enhance core healthcare operations. MinePoint provides these solutions in an integrated package that utilizes a single design environment with an easy to understand user interface.
MinePoint can appear as a printer to your computer system. Simply add a MinePoint printer to each of your systems and the MinePoint interface is complete. Data is easily mined from captured reports. MinePoint can connect to a variety of databases and run sophisticated queries or stored procedures to generate data using our visual query designer
THE CHALLENGE
As the projects become larger and more complex, understanding and providing effective data from project processes is a significant challenge for today’s information systems. In addition to the awareness and implementation of the project procedures, recognition of the quality of the standards and practices is critical for continued performance improvement.
Recognizing a “failed” project is easy. However, accumulating the lessons learned and translating them into improved project management practices is sometimes performed sporadically or left up to the individual project managers. Once identified, obtaining real behavior changes and incorporating the most effective practices into an organization’s methodologies is even more difficult.

- 60 day test and “Proof of Concept”
- For the proof of concept, MHS will only be invoiced for our consultant hours plus expenses and the One time training fee
- One Time License Fee is due only if Metrohealth System accepts the “Proof of Concept” within the 60 day test period
- Total Monthly Fees commence only if Metrohealth System accepts the “Proof of Concept” within the 60 day test period
- MHS purchases a minimum of a one-year lease or purchases the software after the proof of concept has been accepted
- The “Proof of Concept” will be for the Metrohealth Medical Center financials systems
- Metrohealth System will pay Health Square, Inc. an hourly fee for the following:
- Consultant – up to 200 hrs @ $110.00 per hour
- If the project exceeds the estimated hours, then Metrohealth System and Health Square, Inc. will review project, in good faith, and determine any potential increase in the maximum number of hours allowed within this agreement
- Consultant will be required to provide weekly time sheets, and a status report
- No additional “handling” charges are added to out-of-pocket expenses
- Health Square will invoice MHS on the 15th and last day of the month
- Hardware and system software requirements for the Client Server
- Set up of server and linkage to the current financial system
- Installation and set-up of the print “Queue” for report capturing tool

ATTACHMENT A – MINEPOINT OVERVIEW
For an explanatory overview, we have separated the functionality of the product into several areas. They are as follows:
REPORT WAREHOUSE
MinePoint will help facilitate the establishment of an online Report/Data Warehouse, eliminating the need for most printed reports. Savings are immediately realized on paper, printer maintenance and labor costs. MinePoint’s data compression in the WinZip format allows economical storage on a Windows 2000 platform.
- Case Study: A client recently converted from a LaserArc Report/Data Warehouse to MinePoint’s Report/Data Warehouse. Prior to the conversion, the LaserArc files were using approximately 15.5MB of space. MinePoint reduced this to less than 5MB of storage. MinePoint helped the hospital realize additional benefits in flexibility, reliability and customer support.
The Report/Data Warehouse is internal to MinePoint and will be created during the initial installation and populated continuously as the software is operated.
REPORT AND DATA MINING
Users can analyze reports stored in the warehouse with a variety of tools. Reports can be selected individually or in multiples; and their contents can be automatically or manually extracted to spreadsheets and pivot tables.
- Case Study: Before utilizing MinePoint, a hospital tried to evaluate the referrals of its clinical doctors to determine how often the physician has referred their patients to other health systems. The report was run quarterly and almost impossible to evaluate in the original printed format. Any analytical work took months to complete and by the time it was done, the information had lost any immediate usefulness. With MinePoint, the report is now run monthly and MinePoint automatically captures, warehouses, and organizes the data. Hospital administrators are able to immediately identify problematic trends. The result is that the hospital is saving several hundred thousand dollars in lost revenue annually.
Users can also analyze the reports with a variety of tools. Select a number of reports and automatically extract their contents to a MS Excel spreadsheets, graph or pivot table.
EXECUTIVE INFORMATION SYSTEM & DASHBOARD
MinePoint allows you to easily present your administrative staff information trended in an interactive format. Analyzing trended data over time aids the decision makers in quickly identifying negative trends, something that is almost impossible to do from daily reports and monthly summaries. Detailed “drilldown” data is also available on the dashboard using pivot cubes, pivot tables and pivot charts.
- Case Study: By mining data from a Daily Charges report, managers were able to view the charges incurred by each patient the prior day. A report that was normally only summarized by individual managers was now open to full, detailed analysis on a daily basis.
WORKFLOW ALERTS
MinePoint will continually monitor database tables, spreadsheets, email, computer printouts and other data input sources for a specific set of conditions to occur. When detected, MinePoint can send an alert in the form of a page, email, fax, printout or similar “active” alert to notify staff of critical data driven events.
Specifically, MinePoint is uniquely positioned to capture data from many disparate sources and push that data to a central repository and then layer on business intelligence or “rules based logic” to actively monitor and alert staff when certain conditions or potential negative conditions are about to occur.
- Case Study: MinePoint is set to monitor X-ray orders for three conditions; Inpatient, Medicare/Medicaid, and MRI orders. When these conditions are met, MinePoint pages the Charge Utilization Nurse with the patient’s name, room number and doctor. By proactively monitoring these conditions, this costly procedure is identified and assessed for need prior to being completed.
- Case Study: MinePoint is set to monitor lab orders for the key word “STAT”. When the condition is met, MinePoint pages the phlebotomist. This has allowed the phlebotomist to roam the hospital instead of sitting in the lab and has improved efficiency and response time.
- Case Study: MinePoint has been configured to monitor Daily Accounts Receivable and emails the CEO, COO and CFO when A/R falls below its 30-day moving average. This provides a head’s up alert to the executive staff. Quickly identifying a negative trend in Accounts Receivable can save a hospital thousands of dollars.
DOCUMENT ROUTING
Using the Visual Designer, MinePoint allows organizations the flexibility to quickly and easily create documents with graphic overlays, merge these overlays with captured text and data to produce multiple rendered reports for laser printing, emailing and faxing. These reports are highly customizable.
- Case Study: MinePoint has helped a hospital system to eliminate the use of pre-printed Admissions forms throughout the hospital. Costs were lowered and efficiency improved by allowing MinePoint to conditionally and immediately correlates forms, graphics, system and patient data and then routing these reports directly to the appropriate departments such as insurance, pharmacy, nursing or surgery as needed.
- Case Study: At shift change, nurses were required to print a 3-page text report for each patient in their care. This information did not include any Respiratory orders that forced the nurses to run an additional report as well. With the Visual Designer, a report was created with input from the nursing staff. Using MinePoint, the data was captured from the various databases, combined with the custom report and automatically printed prior to shift change.
INTERFACES & DATA MIGRATION
MinePoint excels at providing interfaces between disparate computer systems. With its ability to capture data from almost any source, it is quickly adaptable to a variety of solutions. Specifically, for a bio-terrorism initiative, where multiple disparate databases, printed reports, electronic files, and complicated, unstructured data resides, we can join and integrate that data, easily. Further, once integrated, we can report over that data in minutes. Deployment of our solution is quick and measurable. We train your staff to work with the tool, so you are not dependent upon us.
- Case Study: MinePoint was utilized to query an AS/400 DB2 database for self-pay patient demographics. Using this information, it built the X12 270 document for transmittal to Medicaid. A custom script module was created to automate WRC Reflections, dial into the BBS service and transmit the file. MinePoint then periodically redials the BBS and gathers the X12 271 response when it is ready. Medicaid eligible patients are then identified and sent to the business office as an excel spreadsheet. A third party quoted the hospital a cost of $25,000 for this interface, which was instead developed using MinePoint in 2 days.
- Case Study: A client hospital used MinePoint to provide a live data feed during a conversion from one HIS system to another. MinePoint captured reports from the HBOC system through printouts. These reports were mined and converted to populate an AS/400 DB2 database, and then MinePoint produced column aligned text files to feed the new system. One programmer completed the system conversion in three (3) days without any custom interfaces from the new HIS.
